Abstract Submissions

  • Abstracts must be submitted via the eOrganiser portal. Email submissions will not be accepted.
  • Abstracts must be submitted in English.
  • Abstracts must be typed into the box/es provided within the portal. It is not necessary to upload an abstract document.
  • Please follow the word limit for the abstract. The limit is 300 words (not including references).
  • It is the responsibility of the submitting author to ensure that the submission has been approved by all authors.
  • The Organising Committee will not be responsible for any errors published.

Abstract submission is a two-step process. Please follow the instructions carefully to ensure your submission is uploaded into the eOrganiser portal correctly.

STEP 1: Create an author account
Firstly, you must create an account to upload an abstract. To begin, access the eOrganiser portal above. Click the “Create an Author Account” button and enter your contact details. These details are required to create the account. Once you have created an account within this portal you can proceed with your submissions.

STEP 2: Submitting your abstract
Once you have logged into the abstract submission portal, click the ‘Submit’ button to access the submission page. You will be required to provide the following details prior to submitting your abstract:

  • Indicate your preferred presentation type:
    • Oral Presentation
    • Oral Presentation & Technical Paper
    • Poster Presentation (ePoster)
  • Enter your paper title in the ‘Paper Title’ box.
  • Type your abstract into the box/es provided within the portal, adhering to the word limit.
  • Add any additional emails to the email correspondence box (any email addresses entered here will be included in the correspondence emails that are sent to you).
  • Enter the name and organisation of all co-presenters and co-authors.
  • Ensure you indicate the presenting author(s) for the abstract and include a brief biography. The biography should be no more than 100 words.
  • Answer the additional questions.

Oral Presentations will allow for a 13-15 minute presentation, followed by a facilitated question & answer time with the audience for all session speakers. The presentation should be structured around the abstract submitted and allocated session theme. Oral Presentations are a great way of showcasing successes, sharing research and profiling key insights to a select audience.

Oral Presentation and Technical Papers will allow for both an oral presentation as outlined above and the submission of a technical paper to be published in a conference proceeding for ICOE 2024, as a Special Edition of the International Marine Energy Journal. The presentation and technical papers should be structured around the abstract submitted and allocated session theme. This format will extend your work’s impact beyond this conference to a wider yet select audience. All technical papers will be peer reviewed by at least two reviewers who are experts in the field who have been nominated by the ICOE Organising Committee. As part of the review period, authors may be requested to amend, correct or revise their paper. Papers that meet all criteria will be accepted for publication in a Special Edition of the International Marine Energy Journal.

Poster Presentation (ePosters) allow attendees to display their work throughout the conference using one slide on a screen. Presenters will have an allocated 3 minutes session to speak to their poster and then question & answer time with the audience. The ePosters should be structured around the submitted abstract outline and conference thematic themes outlined above. These ePoster are a great way of showcasing a short piece of research or evaluation.

  • The submitter must be an author of the abstract.
  • Abstracts must be submitted eOrganiser by 5 March 2024.
  • Abstracts will not be accepted via fax, email, mail or USB/CD.
  • The official language is English. No translation will be provided by ICOE organisers.
  • All required fields on the online abstract submission form must be completed.
  • Full paper deadline 28 May 2024.
  • All presenting authors will be required to register and pay for the Conference by the author registration deadline of 9 July 2024 to ensure that their abstract(s) are included in the final program.
  • It is the responsibility of the submitting author to ensure that the abstract is submitted correctly.
  • After an author has submitted their abstract, they must check their submission to ensure the document has been uploaded correctly.
  • Authors can check their submission by clicking on the viewing option in the submission form.
  • The Conference Managers will not be held responsible for abstract submissions not received via the website or for submission errors caused by internet services outages or other unforeseen events.

Notification of acceptance will be sent via email to the submitting author by the end of March 2024 for oral, technical paper and poster abstract submissions. Acceptance or otherwise is at the discretion of the Organising Committee whose decision is final. All presenting authors must register and pay to attend the Conference. Due to the limited number of presentation slots during the ICOE conference, some oral presentations may have to be presented as an ePoster to balance the session tracks, depending on the final number of submissions received.

  • Abstracts must be submitted online via the abstract submission form and will close on the 5th March 2024.
  • Submissions might be of an industrial, scientifical or technical nature, as well as addressed to a more general audience. Auxiliary presentations or graphics will be accepted. The official conference language is English.
  • The final decision regarding the acceptance or rejection of abstracts will be taken by the ICOE Executive Committee. Abstracts will be reviewed by experts from the ICOE 2024 International Advisory Committee, which gathers members of ocean energy industries, associations, academic bodies and public authorities worldwide.
  • Every effort will be made to accept quality abstracts that address the conference themes and meet the standards exercised by the committees, but submission is expected to be competitive and authors are encouraged to consider how their contribution may best fit and to ensure that the abstract truly represents the value of their contribution.
  • Young researchers (students, including PhD students, and post-docs in their first 5 years of research career) will be a part of a competition sponsored by Ocean Energy Systems. The winners of the “Best Poster” awards will be announced during the closing session of ICOE 2024. The prize will consist of a diploma and a monetary prize of €2,000 for the winner and €1,000 for the runner-up. The diplomas will be delivered during the closing session and the prize transferred afterwards.
  • Selected abstracts will be invited to participate in the event at a special registration price as speakers or as part of the poster session, using templates provided by the organisation. Selected posters will also be requested to record a video briefly explaining the content. All accepted abstracts, presentations and posters will be archived as the proceedings of ICOE 2024 by Ocean Energy Systems at  OES | ICOE
  • Outstanding technical papers will be selected and considered for review and publication in a Special Edition of the International Marine Energy Journal (IMEJ) (ISSN 2631-5548) with all papers given a unique DOI number.

There is no official template for the oral presentations. The duration will be 13-15 minute presentation, followed by a facilitated question & answer time with the audience for all session speakers. Some suggestions for presentations include:

  • Save presentation file in Windows PowerPoint compatible format.
  • Embed fonts when you save the presentation.
  • Prepare all slides in standard format (16:9 or 4:3).
  • Please load and check presentations at desk before session.

The official template for the technical papers will be provided when abstracts close. As part of the technical paper submission process, authors are required to check off their submission’s compliance with all of the following items. Submissions may be returned to authors that do not adhere to these guidelines.

  • The author(s) must confirm that the abstract and technical paper submitted has not been previously published, nor is it before another journal for consideration.
  • The submitting author is responsible for obtaining agreement of all co-authors and any consent required from employers or sponsors before submitting a technical paper.
  • The submission file is in PDF format. All Microsoft Word source files have also been uploaded separately. In addition, all images have been uploaded in high resolution format (>300 dpi for photographs; >600dpi for raster graphics). PNG, JPEG, TIFF and EPS formats are accepted.
  • Where available, DOIs (or URLs) for the references have been provided.
  • For authors who’s papers are selected publication in the special edition of the International Marine Energy Journal, authors must be able to agree to the following: I/we the authors understand that I/we retain copyright over our article. I/we grant a licence to IMEJ to: publish my/our article under the terms of the Creative Commons Attribution (CC BY) License which permits use, distribution and reproduction in any medium, provided the original work is properly cited, and identify IMEJ as the original publisher.
